What would be the key elements you would outline in your memo, and why?

The write-up below is from a classmate. The assignment request is a short response to the following classmate’s post: It can be affirming their write-up or adding additional info to further the discussion. 1-2 sources needed.

Question: If you were to write a memo to supervisors in your organization regarding the need for an internal audit of your HR functions, what would be the key elements you would outline in your memo, and why?

Classmates Response: Included in the letter to supervisors would be a list of key points that need to be addressed and an explanation as to why those key points are important for the organization. I would highlight that the goal of the internal audit would be to help the organization learn from mistakes and grow. The results of the audit would only be shared with members within the organization. If there is criticism or things that individuals can improve on, they will be addressed on an individual basis. We do not want individuals to feel singled out in a group setting or feel attacked. As Noe (2016) mentions, the initial step as part of the planning process for human resources is forecasting. Forecasting is important in an organization to predict the demand for labor in the future. This can help organizations be prepared for what may come and plan ahead. Another key element that I would outline in the letter to the supervisors would be reviewing the recruiting process and personnel policies. This reasoning for this is to ensure that a fair process is taking place and the plan for internal and external recruiting is clearly defined.

Question: What would be the primary focus and purpose of an internal audit of your organizations HR functions?

Classmate’s Response: The main focus of the audit is to ensure that fair processes are taking place and that policies are aligning with best practices. Part of the human resource role is making sure that the actions taking place are legal and ethical. Human resource management zeroes in on self-improvement skills and interpersonal relationships (Battaglio, 2020). Another main focus of the audit would be making sure that the relationships between employees and administrative staff are civil and respectful. All employees deserve to feel safe and respected in the workplace. As mentioned, the goal is to help the organization as a whole and for the company to reflect on the results of the audit.

Question: What might be controversial about such a process?

Classmates Response: There may be employees that are upset about the audit for a variety of reasons. Reasons may include, they do not want to be closely examined or feel any additional pressure. Depending on how the audit goes, there could be some added stress or feelings of uncertainty. Something that could be controversial would be the way that the audit is taking place. An employee may have strong feelings about it if they have been at another company that handled the audit differently.

Question: Explain and provide examples from your own experiences.

Classmates Response: When I used to work in a preschool setting, our school partnered with an organization called Southwest Human Development that would evaluate and observe teachers on a weekly basis. The purpose of this was to ensure that the teachers were following the approved teaching methods and to find ways for the teachers to improve. We would meet with an early childhood development specialist each week to go over the notes that they had taken during the classroom observation. I personally enjoyed hearing about the things that I could improve on and use to enhance my teaching. However, a few of my colleagues would complain about how it felt we were constantly being monitored. Some of my colleagues began to feel frustrated that we had to meet with Southwest Human Development at least once a week. There are some people that agree with the process and others that do not. The same could be true in the instance of how the audit is taking place and if others will agree with it or not.
